THE JOBS: NOT AS HARD AS THEY LOOK
Trial Chairperson:
Be not afraid. This job has a lot of components; fortunately most can be
accomplished in the peace and tranquility of your own home. This job starts
about a year in advance with the choosing of the trial date and approval
from the organization. Next, secure a trial site. This person secures
judges for the trial which is predominately done via email well in advance
of the trial date. You make the hotel arrangements for the judge(s) and
transportation to and from the airport and to and from the trial site as
well as any dinner or function the Club sponsors for the judge(s). This can
be private vehicle by yourself or through other volunteers, taxi service, or
having the judge rent a car which the Club pays for. You secure all other
workers for the below listed positions as well as a security guard for the
nights the equipment remains at the site after the day’s trial.
Make sure someone has checked on toys and ribbons well in
advance of the trial date.
On the day of trial you are responsible to make sure all your key
position workers are in place as scheduled. If someone fails to be present,
it is your responsibility to find a replacement and that may be you.

Trial Secretary:
Take a deep breath for this one. This job is done over a long period of
time. Luckily a large portion of it is also done in the comfort and
convenience of your own home. You need to process the application to the
organization and secure their approval for the trial (unless this was done
by Trialchair) advertise the trial on the many web sites available, by
mailings, and on numerous calendar sites and newsgroups. You process the
premium lists, receive and process the trial entries including move-ups,
assign armbands and get them to the exhibitors with the processed exhibitor
letters, print and sort scribe sheets, run order, gate postings, catalogs,
and finalize all eligible move-ups.
Day of Trial Enter all necessary information as required by
the organization, specifically the score of each run. Sort the scribe
sheets to the judge’s preference, print class score report at the conclusion
of each class; print scoring labels (2 sets), print the judge’s books, print
qualified counts by class, process move up requests, print large run order
report for the next day by class for gate posting boards, and post the
report on boards.
Post Trial: You process the final accounting of income and
expenses, process and mail the results to the organization, print Club’s
copy of the Judge’s Book(s), and print the reports for all the trial days.
THIS JOB PAYS BY INDEPENDENT CONTRACT.
Equipment Manager:
This person is responsible for the equipment regarding transporting the
equipment trailer to and from the trial site. They need to have electronic
trailer brakes to haul the trailer or arrange to have it done with someone
who has such vehicle to tow the trailer. Trailer needs to be checked prior
to traveling for equipment stability/securing, battery packs for the power
drivers need to be fully charged, getting post-trial list of any equipment
broken or replacement of supplies used, contacting the Club as to the final
inventory accounting, and return of the trailer and keys to the appropriate
club member. Additionally, this person makes certain the equipment is in
good condition and properly assembled. This person also engages a group of
people for set up and tear down before and after the trial. Set up is
usually done early in the morning on the first day of trial. Post trial
loading of the trailer includes securing the equipment properly. There is a
binder in the trailer outlining this procedure. There is no advanced tasks
for this job it is all done on the subject days of trial.
THIS JOB PAYS $10.00 WORTH OF VEGAS VOUCHERS PLUS GAS REIMBURSEMENT.
Chief Course Builder:
You must know how to read a coordinates map. If you can pull a tape measure
out and roll a measuring wheel, you can easily learn how to do it. Early
arrival each trial day is a must for this job. At the end of the day you
will need to preset the courses (flagging) for the following day with just
map coordinates. You walk around the ring with the Judge as he/she wheels
the path and you tweak as they direct. When a class is completed in one
ring, you get in there and begin building the next course. Also you assist
the Equipment Manager in unload/load of trailer.

Chief Ring Steward:
This job is time consuming. Fortunately, like the Trial Chairperson and
Secretary this worker will do a lot of the task in the serenity of their own
home. The Trial Secretary sends you a list of persons who have volunteered
for ring jobs and you put them in where needed according to what they
offered. Then you tell the person, via email, where you have placed them
and make sure they are still good with doing the task. On the day of the
trial, you go around and make sure the volunteers are in attendance and
remind them where they agreed to work. If someone is not present, you
secure another worker to fill the position. You hand out VEGAS
VOUCHERS and
meal tickets to the workers.

Hospitality:
This job is the one that is not as easy as it may seem primarily because it
is predominantly done as the show is ongoing. You are limited to the amount
of advance time when you can shop because the foods need to be fresh. You
go to the market and purchase all necessary items. You need to purchase the
ice on your way to the site daily as we have no way to store it. We keep an
inventory of our paper and plastic products and you would be informed if you
needed to purchase paper plates or coffee cups, etc. You plan the meals and
prepare them. You serve them. The continental breakfast is set out early
and since it is open to all in attendance you do not have to “watch it like
a hawk” You do need to watch that there is enough out and the coffee is
brewed. Because the exhibitors arrive early, you must arrive earlier. It
takes a long time for that large coffee pot to brew. The lunches and drinks
are limited to the workers and those you kinda do have to watch like a
hawk. Because they had free access to the morning food some people think
the afternoon food is free as well. It is not. You must tell them that the
lunches and drinks are for workers only who will have a ticket to prove they
are working. You need to serve the lunch meal for portion control to be
certain there is enough for every worker. You need to set up and clean up
the hospitality tent and the items you use such as the coffee pot and
utensils. You have use of the motor home amenities but they are limited.
The stove and refrigerator are not as large as you are used to at home. You
do not have use of the personal items in the motor home such as plates,
utensils, bowls, pots and pans, etc.
